Key responsibilities

  • Direct the work and development of the Private Wealth administration team, including in particular:
    • Provide technical and managerial support to your team mentoring them in their roles and ensuring that the team functions cohesively and in a client centric way.
    • Encourage staff to develop long term relationships with profitable clients.
    • Work with your Director, using financial and investment awareness to assist developing the most appropriate strategies to meet the needs of clients.
    • Anticipate technical problems when dealing with client issues, ensuring that you think laterally and creatively to find solutions and, where necessary, ensure that you seek expert advice.
    • Identify and communicate improvements that enhance service to clients and/or profitability to VG.
    • Cultivate professional relationships with professional intermediaries, advisers and service providers to enable the possibility of further referrals of business.
    • Review company or trust accounts or other financial reports.
  • Manage your team to ensure
    • They carry out their duties (as described in their job description) in an efficient and effective manner i.e. reviewing team’s work on a regular basis.
    • Their work is the highest standard.
    • They maintain regular contact with their clients and make occasional visits.
    • They receive the advice and assistance they need to do their job well.
    • They attend relevant training to assist with their professional development.
    • You maintain good order and discipline in your team.
    • You monitor the general department co-ordination and allocation of client work to deal with major client tasks arising from time to time.
    • You provide your team regular performance feedback.
    • For new joiners, you assign their portfolio of clients and set them up on relevant systems before they start and you give them sufficient handover/guidance notes on arrival.
    • You ensure there are clear lines of two-way communication between yourself, Directors and your team.
    • You allocate new and existing business so that it will be dealt with efficiently.
    • You manage the work flow in the team, identifying (where appropriate) the need to recruit new staff.
    • You and your Assistant Manager ensure each member of the team recovers debt on a regular basis.
    • You ensure time sheets are collected and checked weekly.
    • You ensure your department has adequate cover during team absences.
    • Some travel may be required to meet existing and prospective clients and intermediaries.
    • You conduct appraisals for your team, publicly recognise good performance and address issues of underperformance.
    • You check and sign off your own Board packs before forwarding them to the Directors.
  • Handling “high-level” client related issues
    • Become an integral part of the work undertaken in connection with new work proposals.
    • Client administration issues should generally be handled by the appropriate administrator within the team and you are not expected to handle such issues on their behalf.
    • However, there will be occasions when you will need to support them with certain client related issues, including travel to meet existing and prospective clients and intermediaries, seeking to develop new business opportunities and nurture long term business relations with intermediaries who introduce new business, special projects and complex transactions undertaken by clients, and issues relating to proposed new business opportunities.

In such instances you should whenever possible ensure that you involve the team in any such client meeting or discussion and that the team handles, under your guidance, any issues raised.

1. Update, scan, file and archive records as necessary to comply with VG’s record retention policies.

2. Respond to internal communications concerning matters affecting the operation of any aspect of VG’s business in a timely manner.

3. Contribute towards the successful delivery of remediation and other projects approved by the Senior Management Team, be that by way of constructive feedback, membership of working parties, research and delivery of information not readily available from VG’s systems and/or the performance of data input or other administrative tasks.

4. Where responsible for the administration of a client entity establish, maintain and fulfil actions recommended by diary entries for tax filings and advice updates, asset performance reviews, agents, attorneys  or delegated functionary performance reviews, quarterly client calls, financial account production deadlines, fee settlement discussions or chasers, quarterly nominal ledger requests for externally bookkept entities, CDD review and updates, breach/complaint/error remediation, client money reviews fee reviews and increases and any other future actions required by VG procedures or necessary for the efficient administration of client entities.

Skills, knowledge and expertise

  • The holder of this position should be educated to degree level, ideally in a business related subject
  • Be a member of a relevant professional body.
  • Minimum 10 years' experience  in fiduciary services.
  • Comprehensive knowledge of offshore fiduciary services, financial market and finances in general.
  • A proven track record in handling complex offshore fiduciary issues and client relationship management.
  • An ability to grasp issues at a strategic level and demonstrate the sound application of commercial acumen.
  • Previous exposure to marketing and business development initiatives coupled with a willingness to get involved in the development on new markets.
  • Strong leadership and interpersonal skills for dealing with staff, intermediaries and clients.
  • Excellent organisation, communication & presentation skills.
  • Ability to inspire, apply sound judgement and be a motivational leader.
  • Knowledge of compliance requirements and the regulatory framework within which VG operates.
