In this busy team you will take direct administrative responsibility for a portfolio of trusts, companies and other wealth structures. You will be proactive and approach challenges with conviction, positivity, urgency, efficiency and a smile! You will always look to deliver excellent service and ensure that you are doing the right thing for clients, staff, and shareholders.

No two days are the same at VG. You will need to be organised, detail-orientated, work under your own initiative yet seamlessly with your team towards the completion of team goals and constantly look for ways to do things better, faster or more efficiently.

The list below details the tasks your role is likely to include. It is not exhaustive and may be amended from time to time.

Client Administration

  • Take responsibility for the administration of a portfolio of trust and company structures.
  • Maintain the highest standards of administration, including the periodic production of reports and analyses for third parties.
  • Draft and prepare documents such as minutes and resolutions as appropriate.
  • Liaise with clients, intermediaries and other professional advisers.
  • Attend client meetings with client directors and managers.
  • Provide excellent service by building and maintaining long-term relationships.
  • Optimise client potential and deliver a consistent, seamless client experience.
  • Maintain client confidentiality at all times.
  • Undertake any other duties that management may reasonably require from time to time.

Financial

  • Complete your timesheet daily with accurate narratives.
  • Achieve the financial target set by management.
  • Manage your WIP, keeping write-offs to a minimum.
  • Understand the requirements and processes for payments, including those involving high-risk clients.
  • Monitor for receipt of funds and confirm when received.
  • Take responsibility for the billing process for your client portfolio.
  • Prepare payment instructions, including for online banking systems, with supporting documentation.

General Administration

  • Carry out general administration duties essential to the efficient running of the business.

Compliance and Risk Management

  • Request and maintain up-to-date CDD documentation for your client portfolio.
  • Understand what is appropriate and acceptable in relation to CDD and risk, escalating any concerns to your Manager.

Skills, Knowledge & Expertise

  • Holds or is studying towards a Table 4 qualification.
  • Proven experience in trust and company administration, financial services or a legal services environment.
  • Sound knowledge of the regulatory framework and Microsoft Office.
  • Excellent written and verbal communication skills.
  • Highly accurate with strong attention to detail and good time management.
  • Proactive, motivated and able to use initiative, with a drive to achieve excellence for yourself and your clients.
  • A flexible team player with a desire to learn and develop.
